CANCELLATION AND REFUND POLICY
Participants must agree to the following policy on cancellation and refunds:
In order to ensure the successful delivery of an Adventures in Mind program, the Association reserves the right to make substitutions or changes to program details as required. Adventures in Mind programs may involve the use of services and facilities provided by third parties and may be affected by situations that are beyond the Association’s control.
The Association may cancel an Adventures in Mind program if:
- Global Affairs Canada issues an Advisory for Canadians to avoid non-essential and/or essential travel to the destination country(ies);
- The Association determines that the program is no longer feasible because of unanticipated changes in costs, logistics, safety or other reasons.
- All Adventures are subject to enrolment.
- Such a cancellation, in rare instances, may be at short notice.
Program Cancellation by the Association:
If the Adventures in Mind program is cancelled by the Association, participants will receive a full refund of any fees paid directly to the Association.
The Association is not responsible for the costs of any goods or services incurred independently by participants, such as airline tickets and travel insurance. We strongly recommend purchasing trip interruption & cancellation insurance at the same time as your plane ticket.
Voluntary Withdrawal by the Participant:
“Voluntary withdrawal” includes any withdrawal on the part of the participant for any reason or cause whatsoever, including death. If a participant voluntarily withdraws from the program, no payments already made to the Association will be refunded. Failure to make payments by the stated deadlines may be considered equivalent to voluntary withdrawal.
Withdrawal of Participant by the Association:
If a participant engages in behaviour deemed by the group leaders to be seriously disruptive of program delivery or the satisfaction of others involved, the participant may not be allowed to continue in the program. In such a case:
- No refunds of Adventures in Mind program fees will be provided.
- The participant will be responsible for any costs associated with early withdrawal/departure such as flight changes, changes to accommodations, insurance premiums etc.
Refund Requests in Exceptional Circumstances:
At the entire discretion of the Association, refunds of fees may be granted on the basis of withdrawal due to medical, compassionate or exceptional circumstances. To request a refund based on medical, compassionate or exceptional circumstances please provide a detailed request and appropriate documentation to the Board of Directors of the Association at info@adventuresinmind.org.
ACKNOWLEDGING RISK, COVERING YOURSELF THROUGH INSURANCE
Participants should understand the normal risks associated with travel of any kind. Canadian participants are also advised to visit the Global Affairs Canada website to view travel advisories for their chosen destination. Provided they act with due diligence, Adventures in Mind group leaders cannot be held responsible for accidental occurrences, though they will do their best to aid anyone who is injured or falls ill. Participants are strongly recommended to purchase travel medical, trip cancellation and trip interruption insurance. They must sign a liability waiver acknowledging these points before embarking on an Adventure.
HEALTH MATTERS
A level of physical and medical fitness is required to get the most out of our Adventures. Some of the sites visited may be accessible only on foot (and not be wheelchair-accessible), and visits may require moderately lengthy periods of walking and standing. Accommodation may be several floors up, with no elevator, and you may have to carry your luggage up and down stairs. If you have any limitations or concerns in this area, please consult Adventures in Mind before applying.
In recognition of the health and comfort of others, all Adventures are scent-free: please do not use perfume or other scented products.

Comments: When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection. An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment. Visitor comments may be checked through an automated spam detection service.
Media: If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies: If you leave a comment on our site you may opt-in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year. If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser. Embedded Content from Other Websites: Articles on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in exactly the same way as if the visitor has visited the other website. These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.
Sharing of Data: If you request a password reset, your IP address will be included in the reset email.
Retention of Data: If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue. For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
Your Data Rights: If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us.
